Nothing makes or breaks a corporate event like the music selection. The right tunes put your employees at ease and help them break out of their 9-to-5 shell. All it takes is the perfect song to turn two strangers into workplace best friends. So when it comes to planning your event, one of the most important decisions you’ll make is what live band to hire.
Unfortunately, many companies don’t fully vet an event band before hiring them. This can lead to logistical problems on the day of the event. What if the band arrives long before the event space is available? What if the songs they play don’t resonate with the crowd?
Here are four practical things to consider before hiring a corporate event band.
1. How much time does the band need to set up?
Corporate events come with a lot of pressure to get everything just right, from the food and drinks to the entertainment. But for everything to go off without a hitch, your entertainment needs to be able to stick to your timeline.
When choosing a band for your corporate event, consider whether they can set up and be ready to play in the time your schedule allows. We typically take about two hours to set up our equipment and do a soundcheck, but larger groups may need more time. And if you want your event to have the perfect ambiance from start to finish, you’ll probably want the band to finish their soundcheck well before guests begin to arrive.
2. How big is the stage area?
You’ll probably never need a huge concert stage for your corporate event. However, you do need to make sure the stage area provided is large enough for the event band you hire. Our core group of four needs a stage that’s at least 15 feet wide by 12 feet deep, but the more band members you add — like another vocalist, backup singers, or a horn section — the bigger the stage should be.
You should also consider whether the performance area is raised or on the same level as the floor. While a raised stage isn’t necessary for your band to entertain your crowd, it does help create a fun, exciting atmosphere.
3. How flexible is the setlist?
Generally speaking, there are two kinds of corporate event bands: Those who can adapt their music to the crowd’s mood, and those who can’t. When you’re entertaining a group of people as diverse as the typical workplace, it’s always better to go with the option that gives you more flexibility.

The ideal corporate event band also includes complimentary MC and PA services since they’ve already set up the microphones and sound equipment.
